How Preglia uses your Google account

This page is for practitioners. It explains what happens when you connect your Google Calendar to Preglia.

Connecting is optional

Preglia works without it. You only connect Google Calendar if you want your Preglia sessions to appear in your own calendar, and your existing commitments to block out your Preglia availability. You can disconnect at any time.

What we ask Google for, and why

When you connect, Google asks you to approve three things. Here is what each one is for.

1. Seeing the list of your calendars.

So you can choose which of your calendars count as busy, and which one Preglia writes to. When you connect we save the names of your calendars so that list can be shown to you. We never read the events inside any of them.

2. Creating, changing and deleting events.

So that a session you book in Preglia appears in your calendar, changes when you change it, and disappears when you cancel it. Preglia only changes or removes events it added itself: it keeps the ID of each event it creates and acts only on those. This permission is broader than we use, because Google does not offer a narrower one that still lets us tidy up after ourselves.

3. Seeing when you are busy.

So that a time already taken in your own calendar is not offered to a client booking with you. This uses Google’s free/busy lookup, which returns times only. No event title from your calendar is ever stored by Preglia — there is nowhere in our database to put one.

Preglia checks busy times only on the calendars you choose. Your main calendar is included when you first connect, and you can switch it off.

What we store

It is held in Australia, in the same database as the rest of your practice, on servers operated by Supabase running on Amazon Web Services in Sydney. It is encrypted in transit and at rest by our hosting provider.

What we never do with it

We do not sell it. We do not use it for advertising. We do not use it for statistics or research. We do not use it to train anything. We do not share it with anyone else. It is used to run your practice and for nothing else.

Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

Who can see it

You. Us, only when we need to in order to keep the system running or to fix a problem you have reported. Nobody else.

Disconnecting

You can disconnect Google Calendar in Preglia at any time, in Settings. When you do, Preglia asks Google to cancel its access, and deletes the access it was holding, your calendar names and the busy times it had copied.

Events Preglia already added to your calendar stay there. They are yours. If you want them gone, delete them in Google as you would any other event.

You can also remove Preglia’s access from your Google account directly, at myaccount.google.com/permissions. If you do that, the connection in Preglia stops working and will ask you to reconnect.

Where this sits with your clients’ information

Your clients’ records are a separate matter, and they are yours. How Preglia looks after them is set out in the client privacy notice at https://preglia.com/privacy, which you are welcome to share with them.

One overlap is worth knowing: if you have your Preglia sessions copied into your Google Calendar, then depending on how you have set it up an entry can carry a client’s first name, the time, and where the appointment is — which may be the client’s home address. That information is then in Google’s hands as well as ours. In Settings you can leave the client’s name out of the entries, or stop copying sessions to Google altogether. The appointment’s location is included whenever a session has one.

If something goes wrong

If information is lost, or seen by someone who should not have seen it, we will tell you without undue delay. We are a very small operation and we would rather say that plainly than describe a response team we do not have.
